When this PDF is enough — and when it is not
Use it for internal folders, contractor binders, or a wall display after a workshop. Regulated industries may still require vendor-issued credentials, CEU transcripts, or OSHA cards — this certificate does not replace those. Name the standard or policy versionin the description if your program updates yearly (e.g. "2026 HIPAA privacy module").
What to put in the description
Include course title, approximate duration, and whether an exam was passed. If you need signatures from two trainers, add a second signature line in pen after printing.
Recordkeeping tips
- Store a copy with your training roster (who attended, dates, pass/fail) — auditors ask for the list, not just pretty PDFs.
- For expiring certifications (CPR, forklift), add an expiry note in the description or keep a separate renewal tracker.
- If you train in multiple languages, print the certificate in the employee's preferred language when practical.
- After mergers or rebrands, update the issuer name in the title or footer so old certificates still make sense in files.
